Terms of Service
Last updated 29 August 2026
These terms are an agreement between [YOUR FULL LEGAL NAME], a sole trader trading as RotaTeam (“we”), and the business using RotaTeam (“you”). By creating an account you accept them.
What RotaTeam does
RotaTeam helps you build staff rotas. It proposes schedules based on what you tell it about your business. Every rota is a proposal for you to review — you decide what to publish, and you remain the employer.
What it does not do
RotaTeam is not an employment law adviser and does not check your rotas against working time law, rest break rules, minimum wage, or your own employment contracts. Those obligations remain entirely yours. Do not treat a rota RotaTeam produced as evidence that it is lawful.
The rules RotaTeam follows are the ones you give it at setup. If you tell it people may work seven days in a row, it will build that rota. It enforces your policy, not the law.
Your account
Keep your login details secure and tell us promptly if you think someone else has them. You are responsible for what happens under your account. You must be 18 or over and authorised to act for your business.
Your data, and your staff's
Your business data remains yours. You grant us permission to process it only to provide the service. When you put staff records into RotaTeam you are the data controller for them and we are your processor; our Privacy Policy sets out what that means in practice. You confirm you have a lawful basis for putting those records in, and that you have told your staff their data is held in a scheduling system.
RotaTeam sends your staffing details to an AI provider in order to build a rota. The Privacy Policy names the providers and what they receive. By using the rota features you agree to that processing on behalf of your business.
Acceptable use
Do not attempt to break into the service, disrupt it for others, resell it without our agreement, or use automated means to place unusual load on the AI features. We may suspend an account that does.
Price and payment
RotaTeam is currently free. We do not charge for it, we do not ask for a card, and no payment is taken. Accounts may show a trial period; that is how long we expect to keep the account open, not a countdown to a bill.
If we introduce charging, we will email every account holder at least 30 days before it applies to them, and you will have to agree to a price before anything is taken. We will never convert a free account into a paid one automatically. If you do not want to pay, you can export your data and close the account, and nothing will be charged.
Availability
We work to keep RotaTeam available but do not guarantee uninterrupted service, and we do not offer a service level agreement. We may take it down for maintenance, and will try to do so outside normal business hours. Because the service is free, you should keep your own copy of any rota you depend on.
Ending the agreement
You may close your account at any time from Settings, which deletes your data immediately. We may end this agreement on 30 days' notice, or immediately if you break these terms. Export anything you want to keep before closing — once deleted, we cannot get it back for you.
Liability
Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
Subject to that, we are not liable for lost profits, lost business, lost data, or losses arising from a rota you chose to publish; and our total liability in any twelve-month period is limited to the greater of the fees you paid us in that period and £100.
Changes to these terms
If we change these terms in a way that affects you, we will email account holders before the change takes effect. Continuing to use RotaTeam after that means you accept the new terms.
Law
These terms are governed by the law of England and Wales, and its courts have exclusive jurisdiction.
